About The Role

We are looking for an experienced Digital Operations Assistant to take on an interesting and varied role alongside the Operations Director, overseeing company operations to ensure all projects are completed on time and on budget and that appropriate processes are put in place and updated. You will be working with internal teams, clients, third party providers and upper management for effective project completion and will manage the workflow of digital development across activity launches, new website launches and ad hoc projects.

Key responsibilities

  • Create and roll-out processes in line with project milestones, with a view to improving effectiveness, efficiencies, and quality control across all businesses
  • Conduct reviews of processes with internal stakeholders and roll-out any updates as required
  • Keep on top of any workflow improvements/updates in the project management tool
  • Take overall responsibility for the scheduling and digital production of the online educational activities.  This would include managing Basecamp activity boards and facilitating weekly meetings with our digital partner
  • Assist with the setting of the agenda for the quarterly operations meeting and facilitate the discussions where necessary
  • Maintain strong relationships with all third-party providers (e.g. AV, IT, Digital) to ensure smooth delivery of products and services
  • Assist with the identification of new third-party providers, facilitate the RFI/RFP and pitch process, contract negotiations and any subsequent on-boarding
  • Maintain strong relationships with all internal stakeholders to further help drive excellence in project timelines and delivery
  • Work closely with the Operations Director on the development and implementation of new product offerings (design, digital development, processes)
  • Monitor company budgets and look at ways to make savings/efficiencies year on year
  • Facilitating staff training on new processes for existing personnel and new starters

Key attributes / skills / competencies

  • Experience – 5+ Years relevant management and industry experience
  • Leadership – direct teams from different departments to achieve the operational goals
  • Communication – ensure that communication is ongoing and effective between all departments
  • IT – keep up to date with IT systems and have an understanding of emerging technologies
  • Presentation – present ideas and results to different stakeholders across the business, up to senior management
  • Team working – Foster an environment of team work to ensure all projects are delivered on times and goals are met
  • Initiative – work along and take the lead when hurdles arise or when tasks need completion
  • Planning – stay ahead of the game and ensuring that plans for the future are clearly labelled
  • Problem-solving – adapt to ever changing environment and reacting quickly to meet challenges
